Privacy Policy
How Submitd collects, uses and protects information, including the information we receive when you sign in with Google.
This policy explains what information Submitd collects, how we use it, and the choices you have. Submitd is provided by LogicLoft, LLC to K-12 school districts. By using Submitd, you agree to the collection and use of information as described here.
Who we are
LogicLoft, LLC ("LogicLoft", "we", "us") operates Submitd, available at submitd.io and app.submitd.io. Our address is 3775 Industrial Blvd, #981081, West Sacramento, CA 95798.
When a school district uses Submitd, the district decides what forms are used and what information is collected. We process that information on the district's behalf and under our agreement with the district. Records created in Submitd belong to the district.
Information we collect
Account information
Your name, work email address, job title, school or department, and your place in the district's organization chart (for example, who approves your forms). This usually comes from your district's employee records.
Form and workflow content
The information you and your colleagues enter into forms, attachments you upload, electronic signatures, approval decisions and comments, and the history of each form (who did what, and when). Some district forms may include information about students; that information is collected by the district and handled as described in "Student information" below.
Usage and device information
When you use Submitd, our servers record technical information such as your IP address, browser type, the pages you visit and the time of each request. We use it to keep the service secure, investigate problems and understand how Submitd is used.
Cookies
Submitd uses a small number of cookies that are necessary for the service to work: a session cookie that keeps you signed in and protects your account, and cookies that remember basic preferences. We do not use advertising or cross-site tracking cookies.
Signing in with Google
If your district allows it, you can sign in to Submitd with your Google account. When you do, Google shares your name, email address and profile picture with us, with your permission. We use this information only to confirm who you are and to match you to your Submitd account. We do not request access to your Gmail, Google Drive, contacts or any other Google data.
Submitd's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell this information, use it for advertising, or use it to train artificial-intelligence models.
How we use information
- To provide Submitd: route forms for approval, collect signatures, send notifications and keep records for the district.
- To manage accounts and sign-in, including single sign-on through your district.
- To send service emails, such as "a form is waiting for your approval" or security notices.
- To support the district, answer questions and fix problems.
- To keep the service secure, prevent misuse and meet our legal obligations.
We do not sell personal information, and we do not use it for advertising.
Automated field detection
When a district administrator uploads a blank form to turn it into a digital form, Submitd can use an automated service to find the fields on the page (for example, "Name" or "Date"). If this feature is turned on, images of the uploaded blank form may be sent to a third-party artificial-intelligence provider solely to detect those fields. Completed forms, signatures and people's answers are not sent for this purpose.
Student information
Some forms a district creates may contain information about students. We use student information only to provide Submitd to the district, as directed by the district. We do not sell it, use it for targeted advertising, or build profiles of students. The district remains responsible for its student records under the Family Educational Rights and Privacy Act (FERPA) and California law, and parents should contact their district with questions about their child's records.
Who we share information with
- Your district. Information in Submitd is visible to district staff according to the roles and workflows the district sets up.
- Service providers that help us run Submitd, such as hosting and email delivery, only as needed to provide the service and under confidentiality obligations.
- Legal reasons. If required by law, or to protect the rights, property or safety of our users, the public or LogicLoft.
How long we keep information
We keep information for as long as the district uses Submitd and as its agreement with us requires. When a district asks us to, or when the agreement ends, we return or delete the district's information, except where the law requires us to keep it.
Security
We protect information with encrypted connections (HTTPS), role-based access, audit logs of sign-ins and changes, and regular backups. No system is perfectly secure, but we work to protect your information and will notify the district if we learn of a breach affecting it.
Your choices and rights
You can review and update your account information in Submitd, or ask your district administrator to correct it. Because records in Submitd belong to your district, requests to access, correct or delete them should go to your district; we will help the district respond. You can also contact us directly using the details below.
Children
Submitd is intended for use by school district staff. It is not directed to children under 13, and we do not knowingly collect personal information directly from children.
Changes to this policy
We may update this policy from time to time. When we do, we will change the "Last updated" date below and, for significant changes, notify districts in advance.
